Legal Administrator

Scout Cold Logistics, LLC is seeking a Legal Administrator. We are a real estate investment and development firm dedicated to cold warehousing infrastructure. The company invests and develops temperature-controlled warehouses for the distribution of food, food production, and non-food perishables throughout the United States. The company is headquartered in Coral Gables, FL.

Job Profile Summary

Reports To: VP Asset Management, Scout Cold Logistics.

The primary responsibility of the Legal Administrator is to act as a project liaison between Scout’s General Counsel and the other teams, including Asset Management, Development, Finance and Investments and will be the office coordinator for the headquarters in Coral Gables.  The role requires a versatile and detail-oriented individual to join our legal team as both an executive assistant, who will work with the President and General Counsel, and a legal assistant who will perform paralegal functions. This role requires a combination of administrative and document preparation skills. The ideal candidate will be able to seamlessly transition between legal assistant and paralegal duties as needed to support the team.

Essential Executive Assistant Functions:

  • Provide general administrative support to the President and General Counsel, including scheduling appointments, managing calendars, and handling correspondence.
  • Open, sort, and distribute incoming mail and prepare outgoing mail.
  • Maintain electronic and physical filing systems, ensuring accurate and organized records.
  • Prepare and proofread legal documents, such as contracts, correspondence, and routing packages for internal approvals.
  • Coordinate travel arrangements and prepare expense reports.

Legal Assistant/Paralegal Duties:

  • Prepare and revise legal documents based on standard templates, including notices and confidentiality agreements.
  • Assist with contract management, including organizing files and maintaining online shared files, as well as the routing of documents for signature via DocuSign.
  • Coordinate with team members from other departments to prepare and circulate routing packages for approval and signature.
  • Assist with support in closings of acquisitions and dispositions, including coordinating with outside counsel and preparation of closing binders.

Competencies:

  • Strong organizational skills, with a detail-oriented approach to projects.
  • Previous experience as a legal assistant or paralegal is desirable.
  • Experience with contracts and contract management, or closings preferred.
  • Ability to work in a dynamic fast-paced, team-oriented environment demonstrating attention to detail, and displaying sensitivity to confidential matters.
  • Approach that is high energy and self-motivated, with the capability to complete defined tasks with minimal supervision.
  • Dedication to model Scout’s values, which requires that team members conduct daily business and interactions with mindfulness to reflect Scout’s culture and promote its standards of excellence.

Requirements:

  • Minimum of 3 years of experience.
  • Bachelor’s Degree.
  • Excellent communication skills, both written and verbal.
  • Ability to understand and compile contracts and prepare abstracts, schedules, and logs.
  • Strong organizational skills and attention to detail including, with the ability to prioritize and manage multiple projects simultaneously.
  • Ability to function both in a team-oriented setting, and independently
  • Commitment to meeting deadlines.
  • Strong Microsoft office skills including Outlook, Word, Excel, and PowerPoint.
  • Experience with DocuSign is a plus.
